My client, a well-established logistics and transport
solutions company, is seeking to add a Documentation Controller
to their operations team. You will be responsible for accurately completing the required documentation needed per shipment as per the Consignees instruction within the required timeframes. This role offers an exciting opportunity to work in a fast-paced environment and contribute to the success of the company
Requirements
:Grade 12/Matric.
Diploma in Logistics or Supply Chain Management or equivalent (desirable).
Minimum of 2 years experience in Freight Forwarding and Logistics experience (export).
Ability to work under pressure and meet deadlines.
After-hours availability is essential.
Experience in working on Google Workspace / Excel / Inttra.
Strong organisational and communication skills.
Work with multiple key stakeholders both internal and external.
Responsibilities
:Accurately capture consignee instructions on the required system.
Ensure that final file covers are received from the Operations team before vessel sailing.
Minimum annual volume of 600 containers complexity dependent.
Ensure that shipping instructions are submitted to the shipping lines as per the deadlines.
Prepare, process, and submit PPECBâ??s, Phytoâ??s, Certificate of Origins, Cargo Dues, Eur 1â??s, Form Aâ??s within the required timeframes.( In accordance with required legislation).
Ensure that the client updates the shippers, contacts and instructions on the systems and guide clients when needed.
Ensure that completed documents are available on required systems.
Ensure that systems are updated and accurate at all times.
Note additional comments on the systems. E.g costs / delays
Complete additional invoice information/comments/requests or form 7s within 30 days of vessel departure.
Inform Management of any documentation or client-related problems.
Flag the necessary matters with the relevant departments.
Liaise with clients to ensure all required documents and information are received to process documents accordingly for the clientsâ?? shipments.
Interact and communicate with third-party service providers.
Complete documentation processes for clients by managing expectations concerning queries.
