The Opportunity
My Client is looking to appoint a strong all-round Operations & Projects Administrator to support a senior team member who currently manages multiple business-critical functions across sales support, procurement, invoicing, project coordination, and internal operations.This role is ideal for someone who thrives in a hands-on IT services environment, enjoys ownership, and wants to become the go-to operational backbone of the business.
Role Overview
You will be responsible for supporting quoting, procurement, customer projects, billing, supplier management, and internal coordination, while also acting as a reliable cover when key team members are out of the office.An IT background or exposure is essential, as the role deals daily with hardware, licensing, connectivity, security, and managed services vendors.
Key Responsibilities
Daily Responsibilities
- Manage quote requests from internal teams and customers
- Request and follow up on supplier quotations
- Prepare and issue customer quotes using Sage
- Provide proactive feedback to customers and internal teams regarding installations and hardware orders
- Build and maintain project pricing schedules in Excel
- Manage customer projects in collaboration with the technical team
- Maintain daily order and procurement trackers
- Purchase hardware, software, and licenses from approved suppliers
- Invoice customers accurately and timeously
- Collect hardware from suppliers and arrange deliveries to customers or contractors
- Schedule meetings with suppliers and partners for management and the technical team
Monthly Responsibilities
- Manually check, verify, and amend billing across multiple services, including:
- Voice billing
- Security licenses (EDR, DNS, RMM)
- Backup licenses
- Microsoft licenses
- Verify license usage across multiple supplier portals and adjust billing accordingly
- Track firewall license expiries, quote customers, and follow up proactively
- Process staff leave applications and claims and maintain records
- Review supplier portals for product updates, technical training, and sales enablement
- Schedule and coordinate monthly staff review sessions
Annual Responsibilities
- Coordinate vehicle license renewals and services
- Manage customer SLA renewals and addendums
- Communicate vendor price increases to customers
- Track and renew supplier and vendor agreements
- Prepare customer annual budgetary quotes
- Schedule annual staff bonus and increase discussions with management
