Personal Assistant to the Owner

Grimaldi’s Group is looking for a highly organised, confident, and efficient Personal Assistant to support the Owner with a strong focus on event coordination, office management, and administrative operations.

This role is ideal for someone who thrives in a structured environment, enjoys planning, and can keep a busy hospitality group running smoothly behind the scenes.

Key Responsibilities

Event Coordination

  • Assist with event planning for all Grimaldi’s venues and estate activations
  • Help prepare function sheets, supplier briefs, floor plans, and run sheets
  • Liaise with clients, suppliers, and entertainment partners
  • Track bookings, payments, deposits, and client communication
  • Support on-site during major events when required

Office Management

  • Manage calendars, emails, phone calls, schedules, and meeting preparation
  • Maintain organised digital filing, shared drives, and office systems
  • Keep staff records, rosters, and standard operating documents updated
  • Assist with supplier accounts, statements, and basic reconciliations
  • Oversee general admin processes across all venues

Administrative Support to the Owner

  • Prepare correspondence, notes, meeting minutes, and follow-up actions
  • Handle confidential information professionally
  • Support daily operations with structured task management
  • Assist with basic marketing admin like updating menus, notices, or scheduling posts
  • Conduct research, gather quotes, and prepare summaries when needed

Requirements

  • Minimum 3 years in office admin, PA work, or event coordination
  • Excellent written and verbal communication
  • Strong organisational skills with a high attention to detail
  • Proficiency in Microsoft Office and Google Workspace
  • Able to multitask and manage deadlines in a fast-paced environment
  • Calm, professional, and confident dealing with clients and suppliers
  • Hospitality or events experience is beneficial but not essential

Nice to Have

  • Experience with invoicing or POS systems
  • Basic design ability in Canva, Word, or Publisher
  • Familiarity with HR admin or onboarding
  • Experience assisting with social media scheduling or marketing support
  • Comfort with creating checklists, procedure documents, or reports
