1. Job Purpose
The Fleet Controller is responsible for coordinating, monitoring, and managing the daily movement of company vehicles and drivers to ensure safe, efficient, and cost-effective operations. This role ensures compliance with company policies, road regulations, customer delivery schedules, and maintenance requirements.
2. Key Responsibilities
A. Fleet Coordination & Dispatch
Allocate, dispatch, and monitor vehicles according to daily schedules and customer requirements.
Ensure that all trips, routes, and loads are planned effectively to maximise efficiency.
Track live fleet movements using tracking systems (e.g., C-Track).
Manage trip sheets, job cards, and delivery documentation.
B. Driver Management
Brief and debrief drivers daily.
Ensure drivers follow company SOPs, road regulations, and safety standards.
Monitor driver behaviour (speeding, harsh braking, idling, route deviations).
Manage driver rosters, overtime, leave planning, and availability.
Assist in training, induction, and performance discipline where needed.
C. Compliance & Safety
Ensure all vehicles and drivers comply with legal and company requirements:
Licences, PDPs, medicals
COF, permits, insurance, logbooks
Conduct vehicle inspections (pre-trip, en-route, and post-trip).
Report and investigate incidents, accidents, and near-misses.
Maintain updated compliance records.
D. Vehicle Maintenance & Repairs
Schedule routine services, repairs, tyre changes, and breakdown support.
Log faults reported by drivers and ensure timely repairs.
Liaise with workshops, suppliers, and dealerships.
Maintain service history and ensure minimum downtime for all vehicles.
3. Minimum Requirements
Education & Qualifications
Grade 12 / Matric (essential)
National Diploma or Certificate in Logistics / Transport Management (advantageous)
Experience
2–3 years’ experience as a Fleet Controller / Fleet Administrator / Dispatcher
Experience with transport, courier, logistics, or FMCG operations
Experience using vehicle tracking systems is essential
Skills & Competencies
Strong organisational and time-management skills
Excellent communication and interpersonal skills
Ability to work under pressure and handle high-volume operations
Problem-solving and decision-making capability
Knowledge of road transport legislation and safety requirements
High attention to detail
Computer literacy (MS Excel, fleet software, tracking platforms)
