General Details
Description
Responsible for all administrative functions of the Group Information Security Programme in support of the Programme Manager and Information Security Team. Conducts necessary maintenance and administration as required.
Permanent Cape Town based
ROLE OUTPUTS
Once the engagement processes have been followed and agreed to, responsibility areas will include the documentation, maintenance and tracking of the key actions supporting the Group Information Security Programme, calendar management, coordination, and preparation and maintenance of reports and other Programme deliverables.
The major drivers, changes and larger goals affecting the role include:
volume of projects and initiatives to administer
time management
resistance to change in processes
stakeholder engagement
meeting logistics
General administrative support
Organising of meetings and venues, functions and presentations; minute taking, follow-up on invitee responses and arrangement of refreshments
Diary management
Office administration and liaison with third parties
Organise travelling and accommodation
Project planning & execution support
Track and chase sign-off on programme deliverables, quotes, etc. from stakeholders
Assist GISP PM with updates to issue, risk, and other programme logs
Assist GISP PM with updating of project documentation
Compile and maintain leave register of SGT InfoSec resources
Creation of project task for time keeping, and verification of correct and timely time capturing per project.
Maintenance and reporting of Jira logs
Project governance and project filing support
Sets up Programme files as required by SGT and Group governance
Ensure processes adopted by project are in-line with SGT and Group governance.
Ensure Jira, Teams, SharePoint and other programme files are updated and available when required
Ensures programme files are properly archived
Qualification and Experience
Grade 12 (matric)
Relevant accredited courses (diploma an advantage)
5 – 10 years’ experience emphasis on:
Project Office Administration
Personal assistant/ secretarial
Communication
Microsoft Office (Powerpoint, Word, Excel, Teams)/ Jira
Financial Administration
Customer Service Relations
Other experience such as:
Meeting protocol, e-communications, and telephone etiquette
Minute taking
Proficiency in English
Understanding of project methodology and processes
Work experience in an IT Project Management Office or Information Security Function will be an advantage.

Purpose:

Duties: (not limited to)
• Assist in moving stock to production according to consumable stock lists.
• Liaise with department manager when needed for any stock priorities or demands.

• Assist Booking out of day to day items for production.
• Count, repack bulk deliveries into smaller qty’s to book out.
• Ensure that FIFO method is used at all times when booking out stock.
• Ensure that waste area is kept in order as per procedure at all times.
• Responsible over housekeeping in specific areas.
• Comply and enforce the overall principle of first time right throughout the stores department.
• Conduct reasonable instruction or tasks from Store man.
• Work as a team with the rest of the stores department.
• Scan/Capture all SRN stock being booked out daily by artisans/production personnel.
• Ensure slips are captured within 24 hours of being booked out.
• Capture to correct department accounts at all times.
• Ensure that all necessary details are on SRN slip when stock is requested.
• Capture all relevant details on Syspro – Code, Account, department, Etc.
• Transfer goods on Syspro within 24 hours of being booked out to production.
• Package/Repack inventory neatly in proper locations.
• Assist in storing stores stock and non-stock items.
• Assist with the booking out of tools and equipment to all departments as requested.
• Assist in daily informal stock takes(cycle counting).
• Capture and maintain relevant store registers.
