Description
Dispatch Manager
We are looking for a Dispatch Manager with a minimum of five years’ experience preferred. The ability to work proficiently on Excel, Word, Outlook, Docuware and Sage. Candidate should possess good verbal and written communication skills, strong math skills and be able to multi-task between several projects.
Duties and Responsibilities
Booking of trucks, both local and export
Generate pack lists for each shipment from Sage
Issue pack lists to the logistics team and stores for load preparations
Issue dispatch notes from Sage or manual dispatches
Organise GA drawings with the drawings team for each project
Plan loads with the logistics team single and multiple
Issue site maps, site locations to the drivers
Constant contact with local and export drivers until goods are delivered to site
Process and issue dispatch notes for trucks loaded
Obtain export clearing agents details for each export project
Emailing clients, transporters and clearing agents the export documents
Process commercial invoices, pack lists, process letter and SADC documents
Process local and export delivery invoices with POD’s
Receipting of local and export delivery invoices on Sage after approvals by the CEO
Ship materials from Sage after delivery of projects to site
Scanning of transport POD’s and invoices, local and export to Docuware
Assist clients with queries upon delivery of goods to site
Constant contact with the logistics team whilst loading of trucks

Customer Service

KPI achievement to be inline & exceed customer targets.Daily monitoring of KPI activities by key account, and formally address non conformanceKPI packs to be developed and maintained for all customers, this will include details such as number of loads, routes, loading/offloading times, supply vs ordered, on time supply, TAT etc.KPI Packs to be standardised and relevant info shared daily, weekly & monthly. This will include info sharing at the weekly profit plan meetings.KPIs to be maintained at targets defined by the customers. Plans to be put into place should KPIs be off target.Continuous improvement to improve status of KPIsDriver, Truck productivity reporting & improvement in collaboration with linehaul operational management teamReporting on performance of drivers, trucks.These will need to be transitioned to the BI Tool & will monitor and reporting on Plato and fleet vision discipline.
Business Development
Participate in canvasing clients and developing the customer development playbookOnboarding new clients & ad hoc clientsAssisting in finding ad hoc linehaul opportunities.Seek 4pl opportunities and manage customers and suppliers
Billing & Delivery Notes
Assist finance in ensuring billing completeness.
