We are seeking a detail‑oriented、proactive、well‑spoken Property Leasing Administrative Assistant to support our daily leasing operations. This role involves coordinating viewings, preparing quotations, communicating with tenants, following up on rentals, supporting internal staff, and handling general administrative duties.

Experience in property administration or basic finance will be an advantage. PropWorx experience is welcome but not required.

 Key ResponsibilitiesLeasing & Client Service
  • Arrange and conduct viewings for shops and office units

  • Provide rental quotations and basic lease information

  • Receive walk‑in clients, answer calls, and record messages

  • Respond to tenant enquiries and assist with general issues

  • Coordinate communication between tenants and internal staff

 Administration & Documentation
  • Prepare quotations, lease documents, and related paperwork

  • Update tenant information, leasing status, and payment records

  • Capture and maintain data on property management systems(training provided)

 Rental Follow‑ups & Financial Support
  • Follow up on rental payments, deposits, and outstanding accounts

  • Send reminders, statements, and payment confirmations

  • Assist with basic reconciliations and arrears tracking

  • Liaise with the finance team to ensure accurate records

️ Coordination & Operational Support
  • Coordinate daily tasks and leasing matters with internal staff

  • Arrange access, inspections, and operational requirements with tenants

  • Coordinate cleaners, maintenance teams, and contractors

  • Assist with monthly reports and expense records

  • Support renewals, terminations, and tenant changes

 Requirements
  • Experience in property administration, leasing support, reception, or customer service

  • Familiarity with commercial leasing processes is an advantage

  • Basic financial understanding(statements, invoices, rental structures)

  • Strong communication and organisational skills

  • Responsible, detail‑oriented, able to work independently

  • Valid driver’s licence is an advantage(for site viewings)
