Responsibilities
Controlling the compliance of the GSE Administration function on a national level
Responsible for the month end stock count on a national level
Manage the administration team of Admin Assistants based at JNB GSE Workshop
Day to day management of the GSE Admin Team ensuring that it functions in compliance with the processes, procedures and control measures as set out in the GSE Admin Manual
Assessing, monitoring, training & development of all Admin staff
Responsible for the further development of processes and procedures to be incorporated into the GSE Admin
Manual.
The rigid control of the entire admin process for GSE on a national level which includes job card processing and capturing, purchase order creation, goods receipting and inventory control within the ACCPAC ERP system.
Ensure the company GSE Admin function and records remain 100% compliant with internal control standards and all relevant industry, regulatory and state legislated requirements.
Establishing an effective supply chain (both local and International) which provides parts to all the company’s workshop locations efficiently.
Review and consolidate the existing approved supplier list in order to extract maximum value both in terms of service delivery and cost effectiveness
Develop incumbent supplier relationships and performance in conjunction with the ACCPAC system in order to improve administration and supply chain efficiencies
Inventory control and stock replenishment (in accordance with ACCPAC Preventative Maintenance Schedule)
Ownership of the month end inventory stock count procedure
Maintaining all equipment records with job card and service history
Monthly preparation of KPI reports.
Assist the National Workshop Manager with HR related matters including but not limited to staff time in attendance, and leave planning and approval
Manage Uniform inventory for all cost centres, reporting quantities issued to the finance department
Attending to GSE audits
Candidate Requirements
Minimum of 3 years’ experience within an administration function
Experience within a process driven operational environment is preferred
Excellent communication skills across different work levels
Strong team builder and competence in multitasking

PURPOSE OF THE JOB:
To receive and extract goods of a specific quantity
from the warehouse, and delivering them to the delivery platform in a manner
that meets company standards for safety, security, productivity, policies and
procedures. Perform general duties related to the receiving, storage, picking,
packing, and distribution of goods and materials, cleaning and general warehouse
duties.
KEY RESPONSIBILITIES (Key elements of the job)
1. Receiving, storage and dispatching
§
Sort
goods by supplier and type.
§
Clean
goods, package and weigh.
§ Ensure that products are placed to their proper
storage locations to facilitate efficient picking and stock
counts.
§
Separate
waste to designated area.
§
Stencil,
tag, label or mark stock as requested.
§
Prepare
stock for dispatch including sorting, weighing, labelling and wrapping.
§ Efficiently
pick orders for delivery, ensuring the correct quantity and type of product.
§ Move
orders to delivery locations or delivery platforms using proper material
handling equipment.
§
Assist
drivers and supervisors in the loading and off-loading of vehicles
§ Assist
with physical stock counts as required.
2. Health and safety compliance
§
Clean
warehouse floor and equipment according to cleaning schedule and using the
correct chemicals supplied by FoodForward SA.
§
Maintains
high levels of personal hygiene and wearing the required PPE.
§
Keep
all fire exits and safety equipment clear of obstructions.
§
Shrink
wrap and place pallets on warehouse racking with correct positioning.
3. Security
§ Assist
in maintaining the security of the warehouse by reporting any risks.
§
Close
shutter doors if you have opened it to perform a duty.
§
Place food
that is not fit for human consumption in the designated waste bins.
§

Report the incident to the Branch Manager if you witness any donated food meant
for beneficiary organisations being consumed or taken by another employee.
4. Standards / Compliance
§ Comply
and maintain warehouse standards, procedures, protocols, and quality control
norms.
§
Ensure
that the goods you process is in accordance with FoodForward SA warehouse SOP,
making sure there is no damage or discrepancy.
§
Ensures
that the warehouse and equipment are kept clean and well maintained.
