JOB PURPOSE: The role provides critical support to the CE & the Senior Management Team & undertakes administrative functions to ensure that the business development, events management, operational & office management are carried out effectively & efficiently. This position will provide crucial support to the organisation to ensure the effective operations of the CEO office & the business. Our ideal candidate has to have previous experience as an Exec Assistant & is familiar with office management technologies. The responsibilities of this role extend beyond that of an executive assistant or secretary, & encompasses organizational & administrative functions. Own car/ driver’s license is essential. We are an entrepreneurial organization based in Bryanston, Jhb specializing in Business Development, Project Management, Finance Facilitation & Events in various sectors

Principal Responsibilities:

Arranging Directors & exec management meetings (incl client) & minuting where required; Day-to-day management of the CE’s diary & meeting schedule; Liaising with clients at a high-level on behalf of the CE as & when required; Setting up Business Planning & coordinating all meetings in support of team efficiency; working with the CE & Head of Ops to ensure the team meets business targets; Liaising across major client contracts to ensure efficiency of delivery across all sectors.

Providing direct support for the Senior Management team as required, particularly in meeting business targets; Maintaining all HR records, staff contracts, appraisal & training records; Supporting the CE to prepare information for presentations, media interviews etc; Updating the CEO on key organisational issues when she is out of the office

Client management

Supporting HoD in coordinating & facilitating pipeline & work-flow; Developing company systems

Business monitoring

Administration of systems (Sage Pastel, Smartsheet etc); Maintain Company reports and records

Staff management

Undertaking key HR duties in liaison with the Head of Operations

Business planning, events & project management

Create spreadsheets & charts, maintain databases & departmental status reports; Undertake project & events management

General office support

Management of the company day to day operations

Knowledge, Skills & Experience Required

Experience of working with senior management & clients; Attention to detail, effective communication skills; Manage complex & highly confidential information; Work autonomously & across multiple tasks & reporting into different projects; Numerate to present & analyse data; Advanced MS office apps, ERPs, Project & Event systems; operate with diplomacy, tact & empathy; A high degree of personal organisation & self-management; online calendars & tight deadlines
