A well-established medical practice, based in the CBD, Cape Town, seeks to employ an articulate, organised and meticulous Administrator / Receptionist. The practice offers specialized back and neck rehabilitation for people who suffer chronic back and neck pain

Ensuring the efficient running of the day to day administration activities within the practice

Being a liaison between patients and Clinicians of each department within the practice

Greeting and welcoming of patients in a professional manner

Scheduling of appointments and managing the electronic diary

Telephone Etiquette - Answering of the telephone in a professional manner, by identifying the company name, your name and location of the practice

Clear and effective communication – communication between patients and staff and with medical aids and suppliers

Data capturing, all information to be captured 100% correctly

Initial weekly target to be reached

Authorisation or Registration letter to be captured or loaded onto electronic profile

Sending and receiving correspondence by using MS Outlook

Attending to queries and solve problems

Preparing patient folders - Ensuring all patients are registered for the treatment Program and scheduled for an initial consultation. All private patients to been informed regarding cost

All patients contacting the clinic directly are informed to contact their medical aid for registration

Contacting all new Medical aid enrolments for the treatment program

Understanding the medical aids benefits for the treatment program

Billing procedure- Capturing timely and effectively by following the correct billing processes and procedures

Understanding the financial risk of non-compliant patients including registration period for the program

Understanding and being able to explain the treatment concept as well as practice terms and conditions to the patients - Administrator to sign terms and conditions as witness this includes the date and time

Represent practice in a professional capacity on all levels which includes administration, marketing, behaviour, social media, telephone etiquette and dress code

Ordering of stock

Knowledge of Medical Aid Authorisation process

Stock Take

Handling cash payments and card payments

Qualifications & Requirements


Minimum requirement: National Senior Certificate. A diploma in administration management from a reputable tertiary institution will be beneficial

Experience – 2+ years in a similar role

Previous billing experience – MedEdi experience would be an advantage but not compulsory

South African citizen

Driver’s license

Logical, methodical and attention to detail

Excellent practical problem-solving skills

Excellent English verbal and written communication skills (be able to listen and express yourself clearly and concisely)

Taking ownership of practice electronic diary
