Main purpose: To administrate all logistical aspects of courses at different venues throughout SA and neighbouring countries allocated to the group by the programme director.
Participation in reaching enrollment against targets through:
adhering to courteous telephone etiquette
Prompt answering of phones (on third ring).
Prompt reaction to course inquiries (sending brochures out on same day).
Meticulous and timeous capturing of student enrollment on database.
Course files checklists to be completed within one month after workshop.
Management income received:
Process within 24 hours of receipt of payment, and file in course file dated and signed by finance dept except where unsure whether course will go ahead.
Confirmation of registration:
Students to receive confirmation letters and other documentation at least 14 days prior to workshop.
Distribution of study material to be done timeously and according to company policy and procedures.
Study material management:
Study material to be distributed at least 2 weeks prior to workshop where applicable.
Keep record of study material from previous workshops for future use.
All workshop preparations to be completed correctly and timeously according to workshop checklists.
Management workshop comebacks:
Anchor files returned from workshops must be checked within 24 hours of receipt for urgent documents / requests / invoices to be processed immediately.
The balance must be processed within one month after the workshop.
Course file checklists must be completed.
Assignments to be processed timeously and correctly and results to be entered on database and to be issued to clinical students within 30 days of receipt of assignments and to management students with 6 weeks.
Certificates to be issued to successful students within 30 days of receipt of the assignment.
Issuing of CEU certificates within 30 days of receipt of assignments.
Update courier register daily
Customer satisfaction surveys:
Faculty, study material and admin satisfaction surveys to be done at all courses.
Target = 4/5.
All written and verbal complaints forwarded to the programme director. And entered into register with process of solving complaint.
Complaints should be less than 1% of total student enrollment.
Student demographics, ie race, gender, urban/rural, students/province etc have to be compiled after each course and summarised annually.
